Role overview
Office and house maintenance

• Support the Logistics & Administration Coordinator to identify houses for staffs and volunteers and negotiate contract with landlords.
• Ensure all house and furniture repairs are reported and dealt with quickly.
• Ensure rent payment for all houses and office done on time and database is updated with relevant information.

. Procurement and Stock Control

• Maintain staff and volunteer’s furniture stock control database, ensuring agreed stock levels are always maintained.
• Manage purchase requests and orders, liaising with employees requesting items, finance and Operation teams as needed and on timely manner.
• Ensure a complete inventory of VSO furniture is held by VSO and every equipment is adequately labeled.
• Assist the SS&IT Coordinator to maintain the Country Office’s Asset Register.

• Coordinate driver movements in response to programme tour needs, daily local town and country-wide logistical needs and specific VSO events
• Undertake local logistical duties requiring expertise such as with Immigration, bank, special procurement /proforma needs, or in response to equipment repairs.
• Collect regularly mail from post office and distribute to staff and volunteer pigeon holes.
Vehicle maintenance and driving

• Check and provide monthly analysis on fuel efficiency and level of individual projects use to the Finance team
• Manage files relating to all aspect maintenance and management of vehicles
• Ensure that generator fuel and cash power are always available and manage their usage.
• Monitor vehicle maintenance (cleaning, fuel filling, tires etc) and ensure regular service and repairs are undertaken at approved garages.
• Monitor and test driving skills of VSO Rwanda drivers and draft driving authorization for CD to approve.
• Drive outside Kigali as necessary.
• Communicate to all vehicle users to use the Logbook and make sure it is being done.

Any other related tasks as assigned by line manager.

Skills, qualifications and experience required
• Demonstrable commitment to delivering excellent logistical service
• Good interpersonal skills
• Methodical and self-organized
• Ability to think quickly to respond to immediate requests
• Attention to details
• Flexibility to adapt to new situations, with a positive attitude to working in an international organization with progressive work standards
• Commitment to VSO’s values, particularly in developing an understanding of HIV&AIDS; Gender mainstreaming and Disability
• Experience working with international NGOs
• Prior experience managing logistical operations involving accommodation and security
• Basic knowledge of databases

• At least 6 years driving experience
• Extensive knowledge of 4WD vehicle maintenance
• Experience of managing driver pool
• Good coordination/management skills
• Basic IT knowledge (Word, Outlook, Excel)
• Good written and verbal communication skills (Kinyarwanda, English and French)
• Understanding of the role of international development and more specifically of volunteering in Rwanda
• Flexibility to adapt, positive attitude towards change, and a constructive and creative approach to problem solving
• Secondary level education
• Knowledge of geography of Rwanda and of Kigali
• Valid driving license (Class B)
