Office Attendant

The Maternal and Child Survival Program (MCSP) is a global, USAID Cooperative Agreement operating in 24 high priority countries to introduce and support high-impact health interventions with the ultimate goal of ending preventable child and maternal deaths within a generation. The Program is focused on ensuring that all women, newborns and children most in need have equitable access to quality health care services to save lives. USAID’s MCSP supports programming in maternal, newborn and child health, immunization, family planning and reproductive health, nutrition, health systems strengthening, water/sanitation/hygiene, malaria, prevention of mother-to-child transmission of HIV, and pediatric HIV care and treatment. USAID’s MCSP engages governments, policymakers, private sector leaders, health care providers, civil society, faith-based organizations and communities in adopting and accelerating proven approaches to address the major causes of maternal, newborn and child mortality such as postpartum hemorrhage, birth asphyxia and diarrhea, respectively, and improve the quality of health services, from household to hospital.

USAID’s Maternal and Child Survival Program in Rwanda is hiring an Office Attendant who will report to Administration Team Lead for MCSP Rwanda, and will be based in Kigali.

Summary of scope of work

The Office Attendant will provide routine in-house cooking services needed for MCSP Rwanda office, including tea/coffee cooking, serving it to the staff and office visitors, she/he will facilitate meetings caterings services by serving water and tea for internal meetings as directed by his/her supervisor as the in-house service. In addition, she/he will serve as messenger for courier from department to the other and facilitate the binding of documents for in-house printing services.

Detailed Tasks:

A)    Cooking services

-          Assist the Admin Team to ensure the office tea/coffee room has the required equipment and right standard for tea services;
-          Prepare on daily basis tea/coffee/water for staff and serve as required;
-          Ensure availably and efficient use of tea room consumables such milk, tea, coffee and water;
-          Serve water and tea/coffee to the participants for in house meetings as organized and communicated to her/him;
-          Facilitate the office visitors to order  the lunch from the restaurants
-          Ensure the timely removal of plates/cups/bottles and cleanness from the area of service;
-          Ensure the office is open timely for cleanness and accessibly and ensure it is closed after working hrs.

B)    Photocopying and Messenger services
-          Assist as needed in photocopying and binding of office documents from different departments;
-          Distribute the couriers internal as requested;
-           Communicate to Admin Team any need for water/electricity repairs

Qualifications & Requirements:
-          Be Rwandan by nationality
-          Ready to start immediately
-          A2 secondary education
-          2 years of experience in a busy office support services
-          Experience in cooking services and handling paper binding work
-          Communication skills, English language and knowledge of French is desirable
